REMOTE PROPERTY MANAGEMENT TRUST ACCOUNTANT

Zenith Properties NW, LLC, Clark County Washington State’s Premier Residential Property Management and Real Estate Brokerage Firm is seeking an Independent Contractor to be the Property Management Trust Accountant for our Accounting Team!

The independent contractor’s position of Property Management Trust Accountant will be responsible for learning, as well as effectively and successfully implementing Zenith’s accounting processes, to execute the fiduciary responsibilities for the Company. With a focus on expanding the Accounting Team’s efficiency and capacity for growth, this Team Member must demonstrate superb Communication, Collaboration, Issue Solving & Training Skills with the Internal Team, Clients, Tenants & Vendors.

Accounting tasks related to the company’s Operating Accounts, including but not limited to:

  • Daily Entry of receipts into AppFolio, ensuring regular deposits are completed and match records in AppFolio and the corresponding bank accounts
  • Daily Positive Pay Process - Uploads information from AppFolio to banks, reviews all banks for exceptions to process. Emails team to confirm task has been completed.
  • Daily entry/review of PayLease receipts for accurate posting in AppFolio system. Ensure funds are paid to the correct ledger/owner account/bank account, submitting transfers as required.
  • Daily - Review Pending Transfer Spreadsheet and monthly review for final accuracy.
  • Weekly AP preparation process - Creates report and reviews fees and vendor payments generated for accuracy. Reviews pending bills due and approves payments based on available funds in the Client Trust Account and final review of AP report for funds available in Client Trust Account.
  • Monthly Reconciliation Reports for accounts in AppFolio.
  • Monthly entry of Owner-Paid Fees in AppFolio. Completes and reviews for accuracy monthly entry for Owner paid Lease Renewal Fees, Inspection charges, Lock Box Fees, Maintenance Coordination fees, SureVestor Insurance charges, Exhibit B charges, etc.
  • Monthly Owner Statement process ensuring team hits accuracy and timeline standards.

Move-In / Move-Out Accounting tasks related to the company’s Operating Accounts, including but not limited to:

  • Move-In Accounting process, ensuring ledgers are received accurately, funds are properly applied to charges, and accurate fees are generated.
  • Move Out Accounting process - receiving completed Move Out Packets, reviewing ledgers and accounting for accuracy and completeness. Records and properly labels Move Out packets in AppFolio. Final utility preparation, Move Out Accounting forms review, AppFolio task/completion. Ensure documents are received from Property Management team and processed within applicable timelines.

General Accounting Tasks related to AppFolio, QuickBooks and the Property Management Team and the company’s Operating Accounts, including but not limited to:

  • Own the Pending Transfer Spreadsheet, completing daily review for completion and monthly review for final accuracy.
  • Review, get management approval for and complete manual credits/adjustments/fixes from Property Management and Maintenance departments as needed.
  • Complete regular review of the Accounting Diagnostic tool in AppFolio, ensuring errors/issues are cleared in a timely manner to aid in accuracy of Owner Statement preparation.
  • Back up Portfolio Property Managers in review of Owner Statements for accuracy. Send notes of required fixes to Trust Accountant for implementation.
  • Owns AppFolio outstanding balance for inactive tenants/owners. Regular review of accounts, sending balances owed to collection as needed. Record all funds received from collection company, clearing ledgers as required.
  • Prepare monthly PVP file from AppFolio information to be uploaded to QuickBooks. Create invoices in QuickBooks and send them to vendors as required. Communicate with vendors regarding questions as they arise.
  • Prepare and review yearly 1099 documents for owners and vendors in AppFolio and QuickBooks

Additional Requirements:

  • C1-C2, Advanced/Fluent English Level Required
  • Ability and desire to work a minimum of 50% of each working day during regular business hours, Monday – Friday, between 8:30 AM and 5:00 PM in Pacific Standard Time.

  • Minimum of 2 Years real-life Trust Accounting work in AppFolio (may consider proper applicant with similar Property Management software experience)
  • Minimum 2 Years real-life experience as an accountant for a Property Management Company
  • QuickBooks Desktop Experience a plus
