Executive Assistant Job Description

Viral Ideas Video Editing is looking for an Executive Assistant to support our CEO. We need someone who’s passionate about keeping schedules aligned, loves the organization of sales leads, and can communicate clearly with a wide range of people—both internally and externally. You’ll be working closely with our CEO in a dynamic environment where priorities can shift quickly, so adaptability and resourcefulness are a must!

What You’ll Do

The daily responsibilities in this role include, but are not limited to:

• Providing strategic administrative and project management support for the CEO.

• Processing and managing emails and calendars – You’ll ensure important communications don’t fall through the cracks.

• Scheduling internal and external meetings – From team huddles to client calls, you’re the scheduling pro.

• Drafting and managing correspondence and communications on behalf of the CEO, as appropriate.

• Setting up eSignature documents and ensuring proper completion.

• Initiating and completing orders and purchases.

• Planning and executing various team events and off-sites – From brainstorming agendas to booking venues, you’ll handle it all.

• Assisting with phone calls and communications to the company

• Assisting with sales

What You’ll Need

• Recent experience in administrative support, reporting to one or more executives.

• Experience working with executives in a rapidly growing environment (agency, consulting, SaaS, or video production/post-production environment preferred).

• Highly proficient in Google G-Suite Apps (Gmail, Docs, Sheets, Slides), clickup and hubspot (or a willingness to learn)

• A can-do attitude and a natural ability to adapt in a dynamic environment.

• Excellent written and verbal English communication skills.
